Costly mistakes when outsourcing your website

A new financial year is the perfect time to take stock of your digital presence and if your website is looking outdated or no longer pulling its weight, you might be considering an upgrade. But before you sign that contract or approve that quote, it’s worth slowing down and asking the right questions.

Outsourcing your website can be a smart investment but only if you avoid the hidden traps that we hear many small businesses fall into. From lack of access to unexpected fees, we’re unpacking five common mistakes that could cost you more than just money.

Here’s what to look out for before you take the leap.

1. No access = No control

You should ALWAYS have full access to your own website. If your web designer or agency won’t give you logins, or only offers limited access, that’s a major red flag.

You’re investing in a vital asset for your business so it should never be out of your hands. If you can’t even correct a spelling mistake or update a phone number without going through someone else, you’ve lost control of something you paid for.

Tip: Always ask for full admin access to your website, hosting and any connected platforms.

2. Vague promises and unclear pricing

Phrases like “full service” or “unlimited updates” sound great, but what do they really mean? Without clear terms, you could end up paying for extras you assumed were included or waiting weeks for simple updates.

Before signing any agreement, get clarity on what’s covered and what’s not. How many changes are included? What kind of ongoing support can you expect? Are there limitations you should know about?

3. Not planning for the “what if”

It’s easy to focus on getting your new site up and running but what happens if things change down the track?

You need to know: If you end your contract, can you take your website with you? Will you still own your content and files? Too many businesses discover too late that they’re locked into a provider or platform they can’t easily leave.

Tip: Look for services that give you ownership/access of your website not just while you’re a client.

4. Skipping the fine print

Many providers use contracts with tricky clauses: auto-renewals, long notice periods, or steep cancellation fees. If you don’t read the terms carefully, you might find yourself paying for a service you no longer want.

Tip: Don’t sign anything until you’ve reviewed the contract and understand exactly what you’re committing to.

5. Not learning how to manage the basics

Even if you’re happy to leave most updates to your designer or agency, you should still be able to handle the simple stuff like updating content on pages or adding a new photo.

Great web developers or agencies will show you how to make these changes easily and provide simple training notes that you can refer to in the future. If they don’t, you’ll end up wasting time and money on every minor update.
